Build a Payroll Employee FAQ Bot with Claude Projects
What This Builds
A Claude Project pre-loaded with your company's payroll policies that handles the most common employee payroll questions — pay stub explanations, direct deposit issues, W-4 updates, benefits deductions — without you being in the loop for every inquiry. You spend 60-90 minutes setting it up once, and then it saves you 2-3 hours every week.
Prerequisites
- A Claude Pro account ($20/month at claude.ai)
- Completed the basic Claude Projects setup (see Level 3 guide)
- Your employee-facing payroll FAQ document (or create one using the Level 1 prompt guide)
- Your current pay stub format / deduction codes document
- Access to share a link with employees (Claude Projects are currently for your own use — you'll share template answers, not live access)

The Concept
This is like hiring a very patient, policy-accurate assistant who has memorized your entire payroll policy binder. Unlike a generic chatbot that gives generic answers ("typically deductions depend on your plan"), this one knows YOUR company's specific deduction codes, YOUR pay schedule, and YOUR procedures. You upload the documents; it handles the questions.
The trick: since Claude Projects are currently single-user, you use it as YOUR research tool — when an employee emails a question, you paste it into the Project and get the answer in 10 seconds instead of 5 minutes.
Build It Step by Step
Part 1: Gather and Prepare Your Documents
Collect these documents (or create them using Level 1 prompts):
- Employee Payroll FAQ (question-and-answer format)
- Pay stub decoder / deduction code glossary (what each line on the pay stub means)
- Benefits deduction schedule (what deductions start when, pre-tax vs post-tax)
- Current pay calendar
- Direct deposit enrollment and change procedures
Clean up the documents:
- Remove anything confidential (individual employee data, salary ranges)
- Make sure policy language is current and accurate
- Add a "Last Updated" date to each document
Part 2: Create the Claude Project
- Go to claude.ai, sign in, click "Projects" in the sidebar
- Click "New Project" and name it: "Employee Payroll FAQ — [Company Name]"
- Click "Add content" and upload each of your documents
- Write the project instructions (click "Set project instructions"):
You are a payroll FAQ assistant for [Company Name]. Your job is to answer employee questions about their paychecks, deductions, benefits, and payroll procedures — using only the company documents I've uploaded.
How to answer:
- Give specific, direct answers based on the uploaded documents
- If the answer requires looking at an individual's paycheck, say "Please contact your payroll team directly at [email/phone] for individual account questions"
- Never make up policies — if it's not in the documents, say "I don't have that specific information — please contact payroll"
- Explain paycheck math clearly — employees are often confused, not difficult
- Keep answers under 150 words unless a detailed explanation is needed
Do NOT:
- Give tax advice for individual situations
- Access or discuss specific employee payroll records
- Make promises about future payroll dates or amounts
Part 3: Build Your Response Templates
Before using it live, run through 15-20 practice questions to build your response template library. Try each of these and save the best answers:
- "Why is my paycheck lower than I expected?"
- "How do I change my W-4 withholding?"
- "When will my direct deposit be active after I enrolled?"
- "What does 'OASDI' mean on my pay stub?"
- "My insurance deduction looks different — why?"
- "I didn't get paid the right overtime amount."
- "When do I get my W-2?"
- "How do I sign up for direct deposit?"
For each, copy Claude's response and save it in a "Response Templates" document. Next time you get the same question by email, you paste from the template (spending 30 seconds customizing) instead of writing from scratch.
Part 4: Use It in Your Daily Workflow
When an employee email arrives:
- Open your Claude Project
- Paste the employee's exact question
- Claude answers in under 10 seconds based on your uploaded policies
- Copy the answer, add the employee's name and any specific figures, send
When a manager asks a policy question:
- Paste the question into the Project
- Get the policy-accurate answer
- If the answer references a specific document section, mention it ("Per our payroll policy, Section 3...")
Real Example: Handling a Benefits Deduction Question
Setup: You've uploaded your benefits deduction schedule showing: health insurance deductions begin the first full pay period after enrollment, pre-tax.
Employee email: "I enrolled in health insurance during open enrollment last month. I don't see any deduction on my last paycheck. Did it not go through?"
What you do: Paste into Claude Project: "Employee enrolled in health insurance during open enrollment. They don't see a deduction on last paycheck. Explain when deductions start per our policy."
Claude answers: "Based on your benefits deduction schedule, health insurance deductions begin on the first full pay period after enrollment is processed. If enrollment was received on [date], the first deduction should appear on the [next paycheck date] paycheck. If the employee believes it should have started sooner, they should contact HR benefits to confirm their enrollment was processed."
Time saved: What used to require opening the benefits guide, finding the relevant policy, and writing a clear explanation — now takes 15 seconds.
What to Do When It Breaks
- "Claude gives wrong policy information" → Check that the uploaded document is current. Open the knowledge panel and re-read what was uploaded. If the document was updated, re-upload the new version.
- "Claude refuses to answer certain questions" → Claude is being appropriately cautious. For questions requiring individual account access (specific payment amounts, individual tax situations), this is correct — those should go to you directly.
- "Answers are too generic" → Your uploaded documents may lack specifics. Add more detail — exact deduction start dates, specific code explanations, concrete examples.
- "I can't remember what I uploaded" → Click the knowledge panel to see all files. Each source is listed — click to preview what Claude has access to.
Variations
- Simpler version: Skip building the full project — just keep your FAQ document open in one browser tab and use regular Claude (free) to search it when questions come in
- Extended version: Add a clause-by-clause annotation of your employment agreement covering payroll terms, so Claude can answer contract-related pay questions
